At Be Cool Studios Ltd, client safety and satisfaction is of the utmost importance. Our terms and conditions are in place to protect Be Cool Studios Ltd and you. If any problem arises, we endeavour to work alongside you to find a common solution.

 

Studio Terms and Conditions

 

(BOOKINGS)

 

  1. Due to studio demand, please note that our booking fees are non-refundable. 

  2. If a booking needs to be amended please contact a studio manager directly at least 48 hours prior to the start of your booking to make the necessary changes. Amendments will be subject to studio availability. Please note this cannot be done via the online calendar.

  3. One full-length backdrop will be included in your booking fee. Please see our ‘extra charges’ section if you require more on the day of your booking.

  4. Only bookings made through the online calendar (via our website) will be accepted. Once the booking fee has been paid, a booking confirmation email will be automatically dispatched. It is your responsibility to ensure you receive the confirmation and that the details are correct. 

  5. Extra time can be booked on the day at the discretion of the studio dependent on the availability. Please note, additional hours are charged at £30 per hour.

  6. It is your responsibility to ensure you book the correct amount of time for your booking. Should you fail to complete your shoot in the allotted time, we will not be held responsible.

  7. Bookings commence at the time stated on our calendar / your email confirmation. Be Cool Studios Ltd reserves the right to permit entry until the start of your booking. 

  8. Please ensure you allocate sufficient set up and pack down time in your booking. If your shoot extends into an unsolicited hour, you will be charged £30.

  9. All items must be returned to their original place at the end of your booking. 

  10. If your booking ends before the allotted time, you are not entitled to a refund for unused time.

 

(EQUIPMENT)

  1. All equipment / facilities within the studio are in good working order. It is your responsibility to alert a studio manager of any faulty equipment / facilities on arrival. Be Cool Studios Ltd will not be responsible for any losses if faults are not reported immediately.

  2. Be Cool Studios Ltd equipment is subject to change at any time without notice. Alternatives will be provided if the equipment list is unavailable. 

 

(MISC)

​

  1. Be Cool Studios Ltd operates a zero-tolerance policy regarding abuse to the staff and studio. If you are in breach of this, we reserve the right to cancel your booking without refund and impose a ban barring you from using the studio again in the future.

  2. You must ensure you have insurance to cover loss, theft or damage to any of your equipment. Be Cool Studios Ltd will only insure and protect its own equipment / facilities.

  3. We operate a strict no-smoking policy on the premises. This includes the use of e-cigarettes or any vaping equipment throughout the studio.

  4. Be Cool Studios Ltd reserve the right to record and monitor before, after and during the booking period for security reasons. This footage may be used as evidence should any terms listed in this agreement be broken e.g damage / loss. 

  5. Be Cool Studios Ltd will not be held responsible for any injuries of any kind or severity obtained by anyone using the studio for any purpose. This includes but is not limited to the hirer or any persons using the studio during the booking period.

 

(EXTRA CHARGES)

​

  1. Extra headshot backdrops = £5 per sheet.

  2. Extra full length backdrops = £10 per sheet.

  3. Projector = £10.

  4. Optical snoot = £10.

  5. Please ensure the studio is left in the condition you found it at the start of your booking. If the studio is left in an extremely untidy condition, a £20 cleaning fee will be applicable.

  6. You are responsible for any damage / loss caused during your booking. Be Cool Studios Ltd reserves the right to charge you full retail value for any repairs / replacements if necessary.

  7. Please do not remove any fixtures from the walls / designated areas without prior consent. Charges may apply for broken items removed without permission.
